What is Erasmus+ Traineeship?

  • Erasmus+ traineeship is part of the Erasmus programme that facilitates student mobility
     
  • duration of the traineeship is 2 - 12 months (1 month = 28-31 days) within the Erasmus+ project period 1.6.2015 - 30.9.2016
     
  • working should be full-time (meaning approx. 30 hours / week)

  • the traineeship period should form a part of the student’s degree
     
  • the objectives of the traineeship are to increase the knowledge and skills of students and prepare them for international work communities and tasks that require international experience and language skills

 

INSURANCE

  • a trainee is covered by the accident insurance of the University of Lapland, which is valid in Finland and abroad with the same terms and conditions
     
  • to cover free-time accidents during the work practice period, the trainee must personally get a separate insurance
     
  • in terms of liability insurance, the work provider is equally responsible for the trainee and its other employees
     
  • a trainee is covered by the liability insurance of the University of Lapland with the following conditions: The insurance covers traineeship in connection with studies, of which a traineeship agreement or a contract of on-the-job learning is made.The University’s liability insurance covers loss or damage occurring at the traineeship or on-the-job learning site abroad, when the loss or damage is on the sole responsibility of the student and in which case the student is personally liable for any compensation required.

  • before the placement the student has to fill in the Erasmus+ Learning Agreement for Traineeship and Erasmus+ Grant Agreement forms as well as to inform the home university about the health insurance

  • European Health Insurance Card gives the trainee access to medically necessary, state-provided healthcare during a temporary stay in any of the EU countries and at the same cost as people insured in that country

  

  • if the trainee is not entitled to the European Health Insurance, a private health insurance must be taken.

 

LINGUISTIC ASSESSMENT

Online Linguistic Support (OLS) - a compulsory language assessment (not for native speakers)

  • an internet based language proficiency test of English, Spanish, Italian, French, and German languages

  • for the traineeships starting in 2015
  • in the following languages: EN, ES, DE, FR, IT according to the working language

 

APPLICATION PERIOD

  • the application period for Erasmus+ Traineeship is open all the time; there is no separate schedule for the applications
     
  • the current Erasmus+ period is valid 1.6.2015 - 30.9.2016 and the placement period should take place within this period

  • the application process and finding a training place may take time so it's good to start the preparations early enough

  • the trainee must apply for the traineeship in the SoleMOVE system

 

For whom?

  • degree students of the University of Lapland including first year students
  • recent graduates of the University of Lapland can do the Erasmus+ traineeship pediod within one year from the graduation
    • the Erasmus+ Learning agreement for Traineeship must be signed before the graduation and grant must be applied from the home university.
  • students who have already been granted an Erasmus student exchange grant, Free Mover grant and / or a Work placement grant by the faculty
     
  • students of the University of Lapland studying abroad within the Erasmus+ programme at the present moment

     

Finding the training place

  • The students are required to look for the training place on their own from enterprises or organisations from other member states of the European Union or from Norway, Island, Liechtenstein and Turkey. However, the organisation cannot be:
     
  1. Any organisation in the European Union such as the parliament or the commission
  2. Any organisation governing programmes of the European Union
  3. An embassy of the student’s home country abroad 

 

  • The students should discuss the traineeship also with their own faculties as it is important that the work placement is approved in the faculty and is included in the degree.
     
  • The career services is a good source of information for students preparing for the necessary documents like CV and applications for possible traineeship period.
    .


Erasmus+ Traineeship grant

  • the grant depends of the amount of the days and the country of work placement
    (1 month = 28-31 days)

  • GROUP 1

    (SoleGRANT: Erasmus+ G1 Placement)

    Grant: 430 €/month, daily grant 14,33 €
    Countries: Austria, Denmark, France, Ireland, Italy, Liechtenstein, Norway, Sweden, UK

  

  • GROUP 2

    (SoleGRANT: Erasmus+ G2 Placement)

    Grant: 380 €/kk, daily grant 12,66 €
    Countries: Belgium, Bulgaria, Croatia, Cyprus, Czech Republic, Estonia, Germany, Greece, Hungary, Iceland, Lithuania, Latvia, Luxemburg, Macedonia, Malta, The Netherlands, Poland, Portugal, Romania, Slovenia, Slovakia, Spain, Turkey 

  • the amount of the grant is monthly payment divided by 30
     
  • before beginning the grant application process student must complete the exchange application for traineeship in the SoleMOVE system
     
  • the grant will be paid at once before traineeship begins

  • the trainee can apply for only one (CIMO) grant at the time

BEFORE TRAINEESHIP PERIOD

1. Finding the training place

  • the students should look for a traineeship place on their own

 

2. Acceptance in the home university

  • when a training place is offered, the students should make sure that they have the approval of the faculty as the traineeship should be included in the student's degree

  • there is a named member of staff responsible for the approval decisions in the field of study or in the faculty
     
  • the expected credits should be also confirmed from a representative of your field of study

 

3. Online Linguistic Support (OLS) - a compulsory language assessment (not for native speakers)

  • an internet based language proficiency test of English, Spanish, Italian, French, and German languages

  • for the traineeships starting in 2015
  • in the following languages: EN, ES, DE, FR, IT according to the working language
  • student will receive an email to complete the OLS assessment before the mobility and another assessment after the mobility

 

4. Erasmus+ Learning Agreement for Traineeship

  • the trainee must fill in the Erasmus+ Learning Agreement for Traineeship form (part I and II).
     
  • the form needs to be signed by the trainee, the faculty responsible and the receiving organisation

 

5. SoleMOVE application

  • log in to the SoleMOVE system and fill in the application

  • the SoleMOVE application is one of the administrative procedures that must be done before being able to apply for a grant
     
  • SoleMOVE Guide for Outgoing Trainees will be found at SoleMOVE page

  • please note that you need the completed Erasmus+ Learning Agreement for Traineeship as an enclosure
     
  • after receiving the acceptance, please confirm your exchange in the SoleMOVE system


6. Grant application

  • the grant application will be done in SoleGRANT to which you will log in through the SoleMOVE system (the information should be transferred automatically between the systems)

  • apply for the grant after your traineeship has been approved in SoleMOVE system
     
  • the filled and scanned Erasmus+ Grant Agreement  will be enclosed to the grant application

  • by sending the SoleGRANT application you are accepting the terms and conditions of Erasmus+ Learning Agreement for Traineeship , Erasmus+ Grant Agreement, and Erasmus+ Student Charter
     
  • the accepted student will be informed about the decision by email

 

DURING TRAINEESHIP PERIOD

7. Student's responsibilities

  • during the traineeship student is responsible of him-/herself and needs to follow the regulations of the host organization
     
  • it´s important to remember that as a trainee you are one of the team in the host institution and deserve to be treated well (make sure that the employer complies with the agreed issues)
     
  • contact the Head of International Student Services (Jaana Severidt) in case of questions or problems

 

7. Transcript of Work or equivalent

  • the trainee should attain a certificate of work signed by the representative of the organization or enterprise for which they have worked

   

AFTER TRAINEESHIP PERIOD

8. Forwarding the documents

  • a copy of the Transcript of Work or equivalent should be enclosed to the SoleMOVE system (on After exchange interleaf) as soon as possible after ending the placement period
     
  • after ending the work placement period the student should fill in the Outgoing Traineeship Evaluation in the SoleMOVE system as soon as possible after ending the placement period
  • Fill in the EU Survey in Mobility Tool (for the Erasmus+ program)
  • Complete the second part of the OLS linguistic assessment (not for native speakers)
  • if the student doesn't meet the requirements mentioned above, the International Relations Office can require the work placement grant to be returned

 

Forms for the Erasmus+ Traineeship

The mandatory forms listed below can be downloaded from the right side bar. 

 

ERASMUS+ LEARNING AGREEMENT FOR TRAINEESHIP (mandatory)

  • includes the programme for the traineeship, tasks of the student, the student’s objectives for the internship and evaluation.
     
  • includes an Erasmus+ Quality Commitment that defines the responsibilities of the student, the sending institution and the host institution
     
  • must be approved and signed by the student, the sending institution and the host organization
     
  • changes to the Learning Agreement for Traineeship should be done within a month from the beginning of the work placement

  • the trainee needs to enclose the Learning Agreement for Traineeship to the SoleGRANT application (on the Enclosures interleaf)

 

CONTRACT OF WORK (obligatory)

  • a separate Contract of Work is recommended. The document should cover the legal framework of the country in question (check the EURES website for more information about the laws, social security and taxes in the member countries of the European Union).

 

TRANSCRIPT OF WORK or equivalent (mandatory)

  • a signed certificate including the tasks of the students and duration of the work placement

  • if the trainee does not follow the agreed rules or does not fulfill the professional requirements of the host organisation, the Transcript of Work can be left undone

 

TRAINEESHIP EVALUATION in SoleMOVE and Mobility Tool (mandatory)

  • the trainee should fill in the Outgoing Traineeship Evaluation in the SoleMOVE system as soon as possible after ending the placement period
  • the trainee should fill in the European Commission's Traineeship Evaluation in the Mobility Tool system after ending the placement period. A link to the Mobility Tool will be sent to the trainee's email
  • If the report is not completed, the student may be required to return the Erasmus+ grant
