CREATING USERNAMES FOR NEW EMPLOYEES
The information of a new employee is entered by the Personnel Services into the personnel information system.
The ICT Services use the personnel information system to create personal usernames and the necessary resources for centralized services. As for those working on external funding, the resources and usernames are created using other identification information.
The user accounts and email addresses of all employees and students of the University of Lapland are generated automatically. The user accounts are used to log into systems, e.g. WebOodi, Optima, the email system, classroom workstations, and the wireless network.
In certain cases a user account may also be granted to a person who is not an employee or student of the University of Lapland. These people must apply for a user account separately.
User account activation
A user account may be activated either with a Finnish online banking account or a mobile certificate on the web site https://identity.luc.fi
Information about the mobile certificate is on the web site www.mobiilivarmenne.fi
If you do not have a Finnish online banking account or a mobile certificate, contact the ICT ServiceDesk or the student HelpDesk.
In summer and at Christmas when the student HelpDesk is closed, also students may contact the ICT ServiceDesk.

If you forgot your password or have other problems
You can change your password using your Finnish online banking account or mobile certificate on the web site https://identity.luc.fi.If your password has expired but you still remember your old password you can change the password also in here:https://pwd.luc.fi or through OWA-email https://mail1.luc.fi
You can also change a forgotten password by visiting the ICT ServiceDesk or student HelpDesk. If this is not possible, use the contact information behind the link above.
In case of problems, employees should contact the ICT ServiceDesk and students should contact the student HelpDesk. When the student HelpDesk is closed, also students should contact the ICT ServiceDesk.

CHANGING THE PASSWORD
A username comes with a password, which the user must change before activating the username. This is done during the first login. USER INSTRUCTIONS AND TERMINATION OF USER RIGHTS
In accepting a username, you are also agreeing to abide by the University of Lapland´s rules of network and computer usage. The rules can be viewed on the university’s web page You should ALWAYS log off the system when finished working.

User rights to information systems
Members of the personnel get user rights automatically on the basis of employment to the following information systems: the Travel system, the ESS web-based self-service system (holidays, absences, changes of address), and Personec-HR (the VPJ State Salary System process).
Acquiring the right to use Optima
Teachers and the general personnel get the right to use Optima by filling out a separate application. The username is applied for via the Intranet at https://intra.ulapland.fi/?DeptID=5588. The handling time of a new username is two weeks.
Acquiring user rights to other information systems
User rights to other information systems are requested by filling out a user license form on the Intranet. Further information on user licenses at https://intra.ulapland.fi/?DeptID=9614.
Creating a username for project personnel
The username of a project worker who belongs to the personnel is created on the basis of the personnel information system in accordance with the above-mentioned practice. To create a username for a project worker who is not a member of the university personnel, the project responsible collects at least the mandatory information on the worker as listed on the application form for external personnel:
duration of the project
The form is in the Lomakkeet section on the University of Lapland Intranet . Please deliver the form in paper format to the ICT Services / User Support. In electronic format, send it to atk.neuvonta(at)ulapland.fi and type “username application” in the Subject field. The delivery time of the username is from 1 to 2 weeks from the arrival of the application. It is delivered to the recipient via the project’s person in charge. A project member’s username process should be initiated well before the beginning of a project.
