Registration and Accommodation

Registration

All participants and presenters must register for the conference and pay the registration fee. Please register for the conference as well as for the evening events by using the online registration form.

The conference registration fees are

400 € Cumulus Member (Full and Associate) early bird till 1 April 2019,
500 € regular fee from 2 April 2019
450 € Non-Cumulus Member early bird 1 April 2019,
550 € regular fee from 2 April 2019
450 € Company early bird till 1 April 2019,
550 € regular fee from 2 April 2019
250 € Students* (BA & MA students) early bird till 1 April 2019,
350 € regular fee from 2 April 2019
150 € One day participation early bird till 1 April 2019,
250 € regular fee from 2 April 2019

*Students: please send a proof of a full-time student status (ID card or letter from your institution or program director) to the conference office by email (congress@ulapland.fi) NB! Maximum number of student participants is 20.

Participants are encouraged to register in advance and as early as possible in order to benefit from lower registration fees as well as cheaper flight costs.

The registration fee includes:

admission to all sessions
lunches and coffee/tea during breaks mentioned in the programme
conference materials
Rovaniemi City Reception on Tuesday 28 May
Exhibition opening on Wednesday 29 May
Conference Gala dinner on Thursday 30 May

Separate fee:

LAAVU Trip Around the Campfire, fee 5 €, FULLY BOOKED

One day participation fee includes:

admission to all sessions during that day
lunch and coffee/tea during breaks mentioned in the programme of that day
conference materials
one day registration does not include any of the evening events

All pre and post conference excursions have separate registrations and fees.
If you need a visa invitation, please add in the note field "Visa invitation needed".

Accompanying person´s registration
If you are coming with accompanying person (spouse/family member/friend, not another participant), you can register him/her to the event social programme via online registration form.

REGISTRATION IS CLOSED

Payments
The registration fees include the VAT 0%. Please note that all payments must be made in advance and in euros (€). Please choose your payment type on the online registration form. The options are

Online bank transfer (Finnish banks)
Online credit card payment (Visa, MasterCard, EuroCard, Amex)
Invoice. Invoice will be sent to you separately by the conference office. Please remember to specify the invoicing address on the registration form.

Cancellation Policy
Cancellations must be made in writing to Rovaniemi-Lapland Congresses. Registration fee will be refunded if cancellation is received by 22 March 2019 (midnight, GMT +2, Finnish time). No refunds will be made for cancellations received after this date. Please note that a processing fee of 50 € will be deducted from all refunds. It is possible to change name of the participant free of charge.

Accommodation

NB! Hotel quotas have been released. If you still want to book a room with event prices, please contact the congress office (congress@ulapland.fi)

The conference organizers have made bulk reservations in seven hotels in Rovaniemi. These rates are valid only for reservations made through Rovaniemi-Lapland Congresses.

Please add your booking on the online registration form. Your booking will be confirmed together with your conference registration. Room rates include buffet breakfast, service and VAT. Reservations will be made on a first come – first served basis.

All hotel fees are to be paid directly to the hotel on-site. The hotels accept all major credit cards.

Cancellation policy for hotel bookings

Cancellations must be made in writing to Rovaniemi-Lapland Congresses three (3) days prior to the planned date of arrival at the latest.
All bookings cancelled later than this or bookings not cancelled at all will be invoiced in full.
Booking may be cancelled later than three (3) days due to illness (doctor’s certificate required).
Without prior notice of late arrival, hotels have the right to give a reserved room away after 18:00. Please inform of late arrival in the note-field of your booking.
